Understanding Bound, Unbound, And Calculated Controls

There are important differences between bound and unbound controls. Unbound controls display information to the user or gather information from the user that's not going to be stored in your database. Here are some examples of unbound controls:

• A label providing instructions to the user.


• A logo placed on a form.


• A combo or text box placed on a form so that the user can enter report criteria.


• A rectangle placed on the form to logically group several controls.

Bound controls are used to display and modify information stored in a database table. A bound control automatically appears in the form specified in its Display Control property; the control automatically inherits many of the attributes assigned to the field that the control is bound to.

A calculated control is a special type of control that displays the results of an expression. The data in a calculated control can't be modified by the user. The control's value automatically changes as the values in its expression are changed. For example, the Sales Total changes as the Price or Quantity is changed.

Using Expressions To Enhance Your Forms

As mentioned previously, a control can contain any valid expression as its control source. When you enter an expression as a control source, you must precede the expression with an equal sign. You can manually type the control source, or you can use the Expression Builder to make the process easier.

To add an expression to a control source, start by adding an unbound control to the form. To use the Expression Builder, click the control's Control Source property and then click the ellipsis. The Expression Builder appears. In the list box on the left, select the type of object you want to include in the expression. The middle and right list boxes let you select the specific element you want to paste into your expression. The Expression Builder is useful when you're not familiar with the specific syntax required for the expression.

You can also enter an expression directly into the text box for the Control Source property. To view the expression more easily, you can use the Zoom feature (Shift+F2). The Zoom dialog box for the control source is pictured in Figure 5.49; the expression shown in the figure evaluates the PaymentAmt. If the PaymentAmt is greater than or equal to 1,000, the message Big Hitter is displayed; otherwise, nothing is displayed.

Using the Command Button Wizards: Programming Without Typing

With the Command Button Wizard, you can quickly and easily add functionality to your forms. It writes the code to perform more than 28 commonly required tasks. The tasks are separated into record navigation, record operations, form operations, report operations, application operations, and other miscellaneous tasks. The Command Button Wizard is automatically invoked when you add a command button with the Control Wizards tool selected. The first step of the Command Button Wizard is shown; here, you specify the category of activity and specific action you want the command button to perform. The subsequent wizard steps vary, depending on the category and action you select.

What Is A Microsoft Access Database?

What Is A Database?

First, let's define a database. A database is a tool for collecting and organizing information. Databases can store information about people, products, orders, or anything else. Many databases start as a list in a word-processing program or spreadsheet. As the list grows bigger, redundancies and inconsistencies begin to appear in the data. The data becomes hard to understand in list form, and there are limited ways of searching or pulling subsets of data out for review. Once these problems start to appear, it's a good idea to transfer the data to a database created by a database management system (DBMS), such as Microsoft Access.

A computerized database is a container of objects. One database can contain more than one table. For example, an inventory tracking system that uses three tables is not three databases, but one database that contains three tables. Unless it has been specifically designed to use data or code from another source, a Microsoft Access database stores its tables in a single file, along with other objects, such as forms, reports, macros, and modules. Databases created in the Microsoft Access 2007 format (which is also used by Access, 2024, 2019, 2016, Access 2013 and Acc2024, 2019 version, version 2016, MS Access 2013, MS Access 2010, or Microsoft Access 2007 to create files in earlier file formats (for example, Access 2000 and Access 2002-2003).

A Microsoft Access database is a relational database management system (RDBMS) used storing, organizing, and managing data. It helps businesses, organizations, and individuals keep track of important information in a structured way. Instead of using spreadsheets that can become messy and difficult to manage, Access allows users to create a well-organized system with tables, queries, forms, and reports that work together seamlessly.

At the core of an Access database are tables, which store data in rows and columns, similar to an Excel spreadsheet but with more structure. Each row, or record, represents a single entry -like a customer or an order - while each column, or field, holds specific details, such as names, dates, or prices. MIcrosoft Access makes it easy to link related tables using primary keys and foreign keys, so you don't have to enter the same information multiple times.

To quickly find or update data, Access uses queries. These allow you to search, filter, and organize information without manually scrolling through endless rows. You can even run calculations, generate summaries, and pull data from multiple tables at once.

For a more user-friendly experience, forms make data entry simple. Instead of typing directly into a table, users can fill out well-designed forms with dropdown menus, checkboxes, and buttons. These forms can be customized with automation, so they handle repetitive tasks automatically.

Reports are used to present or print information, help organize the data in a polished format. Whether it’s an invoice, a sales summary, or a client list, reports make it easy to share important details in a clear and professional way.

Microsoft Access also includes macros and VBA (Visual Basic for Applications), to save time and let users automate repetitive tasks. Microsoft Access automation makes work more efficient by generating reports with a single click or sending reminders when data needs updating.

Microsoft Access is widely used in healthcare, finance, human resources, inventory management, and government agencies. It's a cost-effective way for small and mid-sized businesses to manage data without the complexity of large-scale database systems like Oracle.
