Alison Balter at MS Access Solutions developed the application that helps us to properly service all of our members. This program handles billing, payments, tracking of jobs worked, available list and other important data about our members. The system automates many tasks that were previously performed manually, allowing our employees to more cost-effectively use their time. This client/server system is used by employees in our Lakeside CA and New York offices. MS Access Solutions and their staff worked with us to develop the necessary specifications and design documents, and then programmed, tested, and implemented the application throughout our organization. Normalize your data so that the same information is not stored multiple times within a dataset. Remember that time and other dimensions are also considered, as you may need to store historic values for analysis in addition to current ones. Normalizing our datasets will help us reduce errors when we compare them later by avoiding storing duplicate entries of exactly the same data type across different tables or columns. Doing this will save space on disk drives (and ultimately hard drive) because duplicates won't be taking up memory unnecessarily anymore. This has another added benefit too: if one record's value changes it only needs updating once instead of going back through all records where its existence was minimized before!
Every table should have a primary key. This is the best way to establish an easy system for finding records in your database, and also allows you to create secondary indexes on fields of that table if it has one.
The primary key should only be one field and ideally numeric. This means that each record can have a single number to define it uniquely, which in turn makes the data more efficient for analysis purposes. The easiest way is using an AutoNumber or Identity column in Access or SQL Server respectively, as this requires minimal effort on behalf of the user when entering information into fields with these types of columns - they just start at 1 automatically! Multi-field primary keys may not make sense if you expect records to share values across different attributes; however non-numeric text fields are also less desirable (though some people like them) because there might be confusion between what numbers represent certain things such as dates versus phone numbers.
Some tables should simply use a text field as the primary key because they don't change much and are relatively small. For instance, lists of countries or states (no need to create different numbers for each country or state). Having this type of meaningless number means that any index is stable even when data changes around it - otherwise, changing the value in one place could have ripple effects through all secondary indexes and other related tables bound by referential integrity.
A common data integrity problem is creating orphan records which are not linked to any other record. Related tables with one-to-one or one-to many relationships should implement referential integrity, through cascading deletes and/or updates, in order to ensure this does not occur. With a cascading delete the removal of a parent record automatically removes child records from its corresponding table if they exist there too; Access (the Jet Engine) takes care of this for you without the need for extra coding.
